Empowering WYG to deliver compelling reward communications

The business

WYG is part of the Tetra Tech group, a leading provider of consulting, engineering, programme and construction management and technical services. Based in the UK, WYG offers planning and transport services via its 1,600 employees located across 19 offices. 

The business offers a comprehensive total reward package with a strong focus on employee health and wellbeing. Core benefits include travel, life, protection and accident cover, pension, flexible working, incentive scheme, private medical cover and more. WYG also operates a flexible benefits scheme which includes buy/sell holiday, travel insurance, health screening and a wide range of other benefits.

Three challenges for the HR team to tackle

Wellbeing benefits needed a communications boost

Despite providing a broad range of employee health and wellbeing benefits, WYG’s employees weren’t always aware of or engaging with them to the extent WYG would have liked. With significant investment in these benefits, the business wanted to generate maximum ROI by increasing benefit visibility and colleagues’ engagement. 

Comms support for a mental health programme

WYG had also signed up to the Time to Change pledge. This meant the business was committed to getting people at all levels of the organisation to talk about mental health in the workplace. As part of the pledge, the HR team needed to submit an action plan that identified how they would promote mental health conversations at work. 

The HR intranet pages needed a refresh

The HR intranet pages were difficult to navigate and information was hard to find so colleagues often contacted HR. This took up time that could have been spent on other priorities. The move to a new Sharepoint intranet presented an opportunity to revise the HR pages making them easy to navigate and more user friendly.

Needing a mix of reward and internal communications expertise, WYG turned to Clarion Call Communications for support.

A long-term solution for a limited budget

With a restricted budget and a broad range of communications outcomes, it was agreed that Clarion Call Communications would design and deliver bespoke communications training to the HR team. 

The scope of the training was established through a consultancy session with WYG’s HR Director and followed up with a fact-find call to understand the business’ metrics, employee demographics, benefits, communications channels, existing comms, branding and tone of voice information.

The training drew on Clarion Call Communications’ unique blend of skills bringing together the best of marketing, internal communications and compensation and benefits expertise.

The training session covered:

  • Marketing theories on writing communications that connect

  • How to balance organisational messaging with information that would resonate with employees and inspire them to act

  • Establishing measures to identify the impact of communications

A practical section was delivered to develop:

  • A high level and more detailed benefits communications plan for the year for physical and mental health and wellbeing that took into account wider communications and the flexible benefits window

  • A detailed editorial calendar for the following three months which set out a proposed headline and synopsis for each communication plus an owner and deadline to ensure accountability and delivery

The results

The training session gave WYG: 

  • A high level, multi-channel health and wellbeing communications plan for the entire year

  • A detailed comms plan for the first quarter 

  • Clear measures to enable the HR team to measure the success of their communications and to tweak their approach to continually improve their results

  • An up-skilled HR team that had a fresh perspective on communications and was better able and more confident about delivering effective communications
